The annual Science and Engineering Fair of Metro Detroit is a
vibrant event that celebrates curiosity, innovation, and the pursuit of
knowledge, and has been a tradition for 68 consecutive years. We bring together
students from public and private schools (grades 3-12) across metropolitan
Detroit (7 counties) to showcase their scientific talents and foster a lifelong
passion for STEM. To make this event a success, we rely on a dedicated team of
enthusiastic volunteers. We are currently seeking individuals to fill the
following key leadership and committee roles. If you are passionate about

1. Volunteer Co-Chairs, Science Fair (Operational Management)
Role Overview: The volunteer Co-Chairs are at the heart of the Science and Engineering
Fair of Metro Detroit, overseeing the comprehensive planning and execution of
this exciting annual event. Working collaboratively, the Co-Chairs will manage
the day-to-day operations, coordinate a dynamic team of volunteer committees,
and ensure the successful implementation of directives from the Board of
Directors. This leadership role is crucial for bringing the science fair to
life and serves as a primary point of contact for stakeholders. This position
reports directly to the Board of Directors.
Key Responsibilities:
- Lead the overall operational
planning and execution of the annual science fair.
- Coordinate and provide guidance
to all volunteer committee chairs and their teams.
- Ensure that directives and
strategic goals set by the Board of Directors are effectively implemented.
- Serve as the main point of
contact for internal and external inquiries regarding the science fair
operations.
- Facilitate regular meetings and
communication among committee chairs to ensure alignment and progress.
- Oversee the master event timeline
and ensure key milestones are met.
- Problem-solve and address any
operational challenges that arise during the planning and execution
phases.
- Collaborate with the Board on
strategic planning and post-event evaluation.

Commitment:

- Attendance at key planning
meetings and full availability during the science fair event. Attendance at the annual Regeneron
International Science and Engineering Fair (ISEF) is optional but
encouraged.

2. Volunteer Logistics & Event Operations Coordinator (Committee
Chair)
Role Overview: The Volunteer Logistics & Event Operations Coordinator will lead the
committee responsible for the seamless execution of all physical and
operational aspects of the Science and Engineering Fair of Metro Detroit. This
hands-on role involves meticulous planning and coordination to ensure a safe,
efficient, and well-equipped environment for all participants. This position
reports to the Science Fair Co-Chairs.
Key Responsibilities:
- Lead and coordinate the Logistics
& Event Operations Committee.
- Manage all aspects of venue
relations, including booking, layout design, setup, and teardown.
- Work with various vendors and union-based
organizations (such as at the event venue), as necessary.
- Develop and implement the event
day schedule, ensuring smooth transitions and timing.
- Establish and oversee safety
protocols and emergency procedures for the event.
- Coordinate all technical
requirements, including audio-visual equipment, power distribution, and
internet access.
- Plan and manage event signage for
navigation and information, as well as sponsor visibility.
- Oversee security arrangements for
the event.
- Coordinate the provision of food
and refreshments for participants and volunteers, if applicable.
- Recruit and manage committee
members (volunteers) to assist with logistical tasks.

3. Volunteer Judging Coordinator (Committee Chair)
Role Overview: The Volunteer Judging Coordinator is critical to upholding the integrity
and quality of the Science and Engineering Fair of Metro Detroit. This
individual will lead the Judging Committee in all aspects of the judging
process, from recruiting qualified judges to ensuring a fair and efficient
evaluation of student projects. An ideal candidate will have a background in
science or education. This position reports to the Science Fair Co-Chairs.
Key Responsibilities:
- Lead and coordinate the Judging
Committee.
- Develop and implement a strategy
for recruiting a diverse and qualified pool of volunteer judges.
- Organize and conduct training
sessions for all judges on evaluation procedures and ethical
considerations.
- Oversee the development,
refinement, and distribution of judging criteria, rubrics, and score
sheets.
- Manage the assignment of judges
to projects, considering expertise and potential conflicts of interest.
- Manage/work with volunteers to execute
professional awards judging.
- Coordinate all logistical aspects
of the judging floor on event day, ensuring a smooth and organized
process.
- Oversee the collection,
verification, and tabulation of scores.
- Work closely with the Awards
Committee regarding the results.
- Recruit and manage volunteer
members for the Judging Committee.

4. Volunteer School & Student Outreach Coordinator (Committee Chair)
Role Overview: The Volunteer School & Student Outreach Coordinator will champion
the Science and Engineering Fair of Metro Detroit within the educational
community. This role focuses on building strong relationships with local
schools and districts (e.g., public schools, surrounding districts,
private/charter schools) to maximize student participation and provide
necessary support. This position reports to the Science Fair Co-Chairs.
Key Responsibilities:
- Lead and coordinate the School
& Student Outreach Committee.
- Develop and implement an outreach
strategy to engage local schools, teachers, and students.
- Serve as the primary point of
contact for schools, educators, students, and parents regarding
participation.
- Promote the science fair through
presentations, information sessions, and distribution of materials.
- Manage the student registration
process, ensuring clarity and accessibility.
- Develop and provide resources and
support materials for teachers and students to facilitate project
development, including running limited training sessions.Track participation numbers and gather
feedback from schools.
- Recruit and manage volunteer
members for the Outreach Committee.

5. Volunteer Coordinator (Committee Chair)
Role Overview: The Volunteer Coordinator is essential for building and managing the
team of general event volunteers (non-judges) who make the Science and
Engineering Fair of Metro Detroit run smoothly. This role involves recruiting,
assigning, training, and appreciating the volunteers who support various
aspects of the fair. This position reports to the Science Fair Co-Chairs.
Key Responsibilities:
- Lead and coordinate the Volunteer
Coordination Committee.
- Develop and execute a plan for
recruiting a sufficient number of general event volunteers.
- Create, distribute, and manage
volunteer schedule
- Work with organizations with
volunteer programs that can support fair activities
- Create clear role descriptions
for various volunteer positions (e.g., registration desk, event guides,
setup/teardown crew, information booth).
- Manage the volunteer application
and assignment process.
- Develop and deliver pre-fair communication
and orientation/training sessions for all general volunteers.
- Oversee and support volunteers on
the day(s) of the science fair, ensuring they have the information and
resources needed.
- Implement strategies for
volunteer recognition and appreciation.
- Recruit and manage volunteer
members for the Volunteer Coordination Committee.

6. Volunteer Finance Coordinator (Committee Chair)
Role Overview:
The Volunteer Finance Coordinator plays a key role in managing the
operational finances of the Science and Engineering Fair of Metro Detroit. This
individual will work closely with the Board Treasurer to oversee budgeting,
expense tracking, and financial record-keeping, ensuring the organization's
financial activities are conducted efficiently and transparently. This position
reports to the Science Fair Co-Chairs and works in close collaboration with the
Board Treasurer and Fundraising Coordinator.
Key Responsibilities:
- Lead and coordinate the Finance
Committee (Operational).
- Track operational income and expenses
against the approved budget.
- Process payments and
reimbursements in a timely manner.
- Manage and maintain accurate
financial records for all operational activities.
- Prepare regular financial reports
for the Co-Chairs and Board as required.
- Ensure compliance with all
established financial policies and procedures.
- Recruit and manage volunteer
members for the Finance Committee.
- Collaborate with the Fundraising
Coordinator to ensure accurate tracking of donated funds.
Desired Skills & Qualifications:
- Experience in bookkeeping,
accounting, or finance. CPA is
preferred.
- Strong numerical acumen and
meticulous attention to detail.

record-keeping skills.
- Familiarity with budgeting and
financial reporting principles.

7. Volunteer Fundraising Coordinator (Committee Chair)
Role Overview:
The Volunteer Fundraising Coordinator is essential to supporting the
financial sustainability of the Science and Engineering Fair of Metro Detroit
through strategic fundraising efforts. This individual will focus on securing
financial and in-kind support from the community by identifying and cultivating
relationships with local sponsors and donors. This position reports to the
Science Fair Co-Chairs and works in close collaboration with the Board
Treasurer and Finance Coordinator.
Key Responsibilities:
- Lead and coordinate the
Fundraising Committee (Operational).
- Identify and pursue local
corporate and community sponsorship opportunities.
- Actively seek out and secure
in-kind donations to support fair operations.
- Plan, coordinate, and execute any
operational fundraising events or initiatives.
- Provide primary support for grant
writing efforts, including research and proposal assistance.
- Develop and maintain
relationships with new and existing donors.
- Recruit and manage volunteer
members for the Fundraising Committee.
- Work with the Finance Coordinator
to ensure proper documentation and reporting of all incoming funds and
donations.

8. Volunteer Awards Coordinator (Committee Chair)
Role Overview: The Volunteer Awards Coordinator is responsible for all aspects of
recognizing student achievement at the Science and Engineering Fair of Metro
Detroit. This role involves leading the Awards Committee to define award
categories, procure awards, and execute a memorable awards ceremony. This
position reports to the Science Fair Co-Chairs.
Key Responsibilities:
- Lead and coordinate the Awards
Committee.
- Collaborate with the Judging
Committee and Co-Chairs to define appropriate award categories and
criteria.
- Research, source, and order all
awards, including trophies, medals, certificates, and any sponsored
prizes.
- Manage the awards budget
effectively.
- Plan and oversee the logistics
and execution of the awards ceremony, including script development, presenter
coordination, and flow of the event.
- Ensure accurate preparation and
distribution of all awards.
- Coordinate with the
Communications team for publicizing award winners (if applicable).

9. Volunteer Communications & Marketing Coordinator (Committee Chair)
Role Overview: The Volunteer Communications & Marketing Coordinator will be the
voice of the Science and Engineering Fair of Metro Detroit, responsible for
promoting the event and engaging the community. This role involves leading the
Communications & Marketing Committee to manage all external communications
and marketing efforts. This position reports to the Science Fair Co-Chairs.
Key Responsibilities:
- Lead and coordinate the
Communications & Marketing Committee.
- Develop and implement a
communications and marketing plan to promote the science fair.
- Manage and update content on the
science fair website.
- Maintain and grow the science
fair's presence on social media platforms.
- Design and create promotional
materials (e.g., flyers, brochures, digital graphics).
- Cultivate relationships with
local media outlets, write and distribute press releases, and manage event
listings.
- Coordinate photography and
videography for the event.
- Ensure consistent branding and
messaging across all communications.
- Work with Outreach Coordinator to
promote participation in schools, etc..
- Work with Volunteer Coordinator
to source members for the Communications & Marketing Committee.

10. Volunteer Technology Coordinator (Committee Chair)
Role Overview: The Volunteer Technology Coordinator will oversee the technological
infrastructure supporting the Science and Engineering Fair of Metro Detroit.
This role involves managing online platforms, supporting virtual components if
applicable, and ensuring smooth technical operations. This position reports to
the Science Fair Co-Chairs.
Key Responsibilities:
- Lead and coordinate the
Technology Committee.
- Manage and maintain the online
registration system for students, judges, and volunteers.
- Administer any online judging
platforms or software used by the fair.
- Provide technical support for any
virtual or hybrid components of the science fair.
- Troubleshoot technical issues
that arise before and during the event.
- Maintain and support internal
communication tools used by the organizing team (e.g., shared drives,
communication platforms).
- Advise on technology needs and
potential solutions.
- Ensure data security and privacy
compliance for all managed platforms.
- Recruit and manage volunteer
